For our client, an Italian based medical device startup, we are looking for a

TENDER SPECIALIST / OFFICE MANAGER

The function shall report directly to the Chief Executive Officer and will support the team in accounting and office management related activities while also assisting the entire management team on broader administrative tasks.

Responsabilities:
- Coordinate, prepare and review monthly, quarterly, and annual reports, including for grant-related activities and submissions
- Coordinate and track contracts, NDAs and price negotiations with office vendors and service providers. Help manage office G&A budget, ensuring accurate and timely reporting. Monitor business & office related insurance contracts
- Support with accounting activities, such as transaction & invoice tracking related to the general ledger, receivables, payables, payroll and financial reporting. Monitor and manage bank accounts operations
- Support with financial planning, budgeting and reporting, while also participating in the creation and maintenance of budgeting tools
- Organize office operations and procedures, including leave of absence & expense reporting for employees, courier mailing, standard office maintenance and supplies management. Support management to update and maintain office policies as necessary. Maintain the office conditions and arrange repairs as needed
- Support and coordinate activities related to Board of Directors and Shareholders meetings, including preparation or collection of required documentation pre&post-meetings
- Address employees requests regarding office management issues (e.g. stationery, hardware and travel arrangements, meeting schedule for senior management)
- Manage the reception of clients and guests and the internal communication flows


- Proven experience (minimum 5 year) as an Office Manager, Front Office Manager or Administrative Assistant. Knowledge of Office Manager responsibilities, systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work. Attention to detail and problem-solving skills. Eager to learn, curious and discrete
- Excellent English & Italian written and verbal communication skills. Strong organizational and planning skills in a fast-paced environment. A creative mind with an ability to suggest improvements
- Proficiency in Office (Excel and Powerpoint, in particular) or Mac Keynote
